Belair Public School P&C Association is a volunteer-run not-for-profit organisation working to support our school community. We run events, activities, advocacy work and fundraising programs to contribute to the vibrant learning environment at Belair Public School
Meetings
Meetings are held on the Wednesday of Weeks 3 and 8 each term at 7pm in the staff room. Parents and school community members are welcome at any of these meetings and can join in person or online.

The President is responsible for:
The successful functioning of the P&C Association meetings
The attainment of the P&C Association’s objectives
Ensuring that the P&C Association takes part in decision-making processes in the school
Fostering fair participation of all members and ensuring that all new members are made to feel welcome
Supporting volunteers
Consistent adherence to the constitution
Acting as the P&C Association’s spokesperson when public statements or actions are needed
Setting up lines of communication with the Principal
Being a signatory on the Association’s bank accounts
Chairing meetings, in the absence of the President, one of the Vice-Presidents will chair the meeting or the meeting can elect a chairperson from the members present for that meeting.

This role is to support the position of President and helps in the running of the P&C functions:
helping to run meetings when President is unavailable
supporting members and volunteers to meet the objectives laid out by the P+C
communicating with members, volunteers, the school, and the community
supporting the events/subcommittees that are run by the P+C, eg: uniform shop, canteen, fundraising, etc
executive-level responsibilities such as being a signatory to bank accounts, passing motions, decision-making, etc
liaising between the executive and other subcommittees/volunteers/community

Receives and deposits monies, maintains records, draws cheques, and presents accounts. Ensures that all funds held and handled by P&C are properly and openly accounted for as the Treasurer is responsible for all funds held in the name of the P&C Association.
The Treasurer makes recommendations about surplus funds.
The financial accounts of the P&C Association must be submitted by the Treasurer to an independent audit each year.
The audited financial statements, with all signed certificates appended, are to be presented at the Annual General Meeting for approval and adoption.

The Secretary is responsible for carrying out the administrative tasks relating to P&C meetings.
This includes:
preparing meeting agendas
documenting and distributing meeting minutes, including any decisions made and actions agreed upon
monitoring and responding to P&C correspondence (via the P&C email)
maintains the list of financial members
issues notice of all meetings and maintains official records of the P&C Association such as the constitution, by-laws, rules of subcommittees, Incorporation Certificate, ABN details, list of financial (voting) members, Minutes, Attendance book.
any other administrative tasks that may pop up from time to time.

Our Uniform Shop Coordinators are responsible for:
running the Uniform Shop in a voluntary capacity, assisting families with their selections and purchases, either in person or via Flexischools
manage stock through regular stock-taking and ordering as required
maintain records of funds received and banking cash in the secure safe on site
manage Flexischools account for uniform sales
attend P&C meetings (or submit report) to communicate activities from the preceding month and request approval for any major purchases required

Leads a sub-committee for the purposes of raising funds for the school, according to the school’s identified areas of priority
Drives fundraising events for the community, either as the event organiser or liaison between the event organiser and the P&C as a whole
Attends P&C meetings (or submit report) to communicate recent achievements and inform the community about planned upcoming fundraising, requesting approval for any financial outlay required

Managing communications between the P&C and the school community. This can include, but is not limited to, coordinating the monthly P&C newsletter and regular updates to the P&C Facebook page.
Additional tasks can include taking photos at events such as school discos, fundraisers etc. to use across communications channels as well as
Liaising with other members of the P&C and school administration staff on various initiatives, plans and strategies.
